TERMS AND CONDITIONS

When you book a tour with Peru Travel Company, you agree to our Terms and Conditions.

Peru Travel Company is a trusted local tour operator based in Cusco, Peru. We are committed to providing safe and memorable travel experiences while operating in accordance with local regulations and conditions.

BOOKING WITH PERU TRAVEL COMPANY

In order to secure your bookings please understands and agree to the following requirements to secure your trek departure:

1) Full Passport Details of ALL Travellers:  Passport Full Names  /  Passport Number / Nationality / Gender / Age. 

These are required to purchase entrances to Machupicchu, Train and Flight Tikets.

2) Deposits: To officially book any itinerary/program or trek, we ask for the following deposits depending on the type of tour booked :

See availability first, before you send us your trek deposit for the Inca trail specially. (non-refundable and not transferable)

  • Inca Trail Tours (2, 4, or 5 days): 50% deposit required (non-refundable and not transferable)
  • Alternative Treks/Reservations – 50% deposit per person required (non-refundable) Not transferable to another person
  • Customized Itineraries and Package Peru Tours – 50% deposit required (non-refundable and not transferable)
  • Car Service and Camping Equipment Rental – 50% deposit required (non-refundable) Not transferable to another person
  • Flight, Bus and Train Tickets Reservations – 100% deposit required (non-refundable and not transferable)
  • Private Service – 50% deposit required (non-refundable and not transferable)

4) Students / Children? Only a valid university student ID is accepted. The student must be under 25 years old, and the ID must clearly show the university name and the expiration date.

Please send us a clear scan or photo of your student ID within 3 days of confirming your booking.

If we do not receive a valid student ID within this period, the regular adult price will apply. Unfortunately, the student discount cannot be applied after the booking has been confirmed.

At the time of making your Reservation if you are a Student we need to submit a Scanned copy of your card so please scan it in and email us a copy and  if you qualify for child discount then we need a scanned in copy of the front page of your passport please. 

We cannot claim discount for you without this!!  Note that you need to carry your student  Card with you otherwise you will have to pay the full fare on entrance fees!

5) Remaining Balance in Cusco? Your balance is payable 1, 2 or 3 days prior to your departure date on the trail and it must be in cash dollars or soles ( According to the current rate in Peru). 

If you book within one week of departure date then full amount is due at time of reservation.

Another way to do your payment from abroad and avoid high bank charges or taxes, is using WESTERN UNION, a global transfer service that has a large network of offices around the world.

Money Transfer by Western Union (using your credit cards) – There are additional fees associated with this method of payment.

The method of payment depends on which country that you are sending the money. From the USA, Canada, UK, Ireland, Australia, France, Netherlands & Norway you can make the money transfer online at : 

WESTERN UNION Just visit the website and follow the instructions. Visa and Master Card can be used. The charge is less if you go directly to a local Western Union agent in your town and pay in cash.

For countries other than those mentioned above you will have to go to the office of your local agent to pay the deposit.

The Western Union website allows you to search for the agent nearest to where you live. There are over 245,000 agents throughout the world so you should have no problem finding one that is convenient to you.

BOOKING INFORMATION

Arrival in Cusco: You must arrive in Cusco 1–3 days before your trek departure, depending on your booking. This is required so the remaining balance can be paid at your hotel before 6:00 PM. We recommend arriving 3 days before for better altitude acclimatization.

Student Discount: To apply the student discount, please email a clear scan or photo of your valid university student ID within 3 days of booking confirmation. The ID must show your name, university, expiration date, and you must be under 25 years old.

Only valid university student IDs are accepted. No other cards (youth, teacher, etc.) are allowed. The ID must also be presented when paying the balance and carried during the Inca Trail, as it will be checked by officials. Missing a valid ID may result in refusal to start the trek.

Child Discounts:

  • Children under 15 receive a US$45 discount on the Inca Trail only. A valid passport is required to apply the discount.
  • Children under 8 years old receive a US$45 discount. A valid passport is required to apply the discount. Passport copy (photo page and date of birth) must be sent within 3 days of booking. Otherwise, standard prices apply and discounts cannot be added later.

Hotel Information:

If you already have a hotel in Cusco, please include its name in your booking form. This helps us locate you in case of arrival issues. You will also confirm your hotel when visiting our office to pay the balance.

MODIFICATIONS TO YOUR BOOKING

Any modifications to the original booking must be confirmed in writing via email. Any costs or charges, which we incurr or which are incurred or levied by our service providers as a result of the modification, will be charged to the passenger.

Whilst every reasonable effort will be made to accommodate changes and additional requests, availability cannot be guaranteed.

CANCELLATIONS

Cancellation Policy

If a traveler cancels a tour or trek booked with Peru Travel Company, the following terms apply:

All deposits are non-refundable and non-transferable, as they are used to secure permits, entrance tickets, accommodations, transportation, and other services.

  • More than 48 hours before departure: Payments made beyond the deposit will be refunded.
  • 48 hours or less before departure: 100% of the total tour cost is non-refundable.
  • After the tour has started: No refunds will be issued for unused services.

If a traveler becomes ill in Cusco before the trek or excursion and is unable to continue, Peru Travel Company may offer an alternative 2-day/1-night Machu Picchu by train program, subject to availability. Additional costs may apply for itinerary changes or new train tickets.

If one or more travelers cancel from a group booking, the remaining travelers may be responsible for any additional occupancy charges.

Travel insurance is strongly recommended. Upon request, Peru Travel Company can provide documentation to support an insurance claim.

CANCELLATIONS AND CHANGES BY PERU TRAVEL COMPANY

Peru Travel Company will make every effort to operate all tours as planned. However, we reserve the right to make changes to itineraries, schedules, services, or prices when necessary due to weather conditions, government regulations, transportation issues, operational requirements, or other circumstances beyond our control.

Whenever possible, any unavailable service will be replaced with a comparable alternative.

If a significant change is required before departure, we will notify travelers as soon as possible and provide the best available alternative.

Peru Travel Company may also adjust tour prices if costs increase due to factors beyond our control, including government actions, currency fluctuations, fuel prices, transportation costs, airport taxes, or supplier price increases.

Peru Travel Company is not responsible for delays, schedule changes, or cancellations of flights or other transportation services, or for any additional expenses resulting from circumstances beyond our control.

PASSPORTS, VISAS AND VACCINATIONS

It is the passenger’s responsibility to have a valid passport, visa (if required), and any necessary vaccinations or preventive medicines for the duration of the tour.

Any information provided regarding these requirements is given in good faith, but without responsibility on our part.

AGE, FITNESS AND PARTICIPATION

All passengers are responsible for ensuring, before booking, that they are fit and able to complete their chosen itinerary.

Passengers over 60 years old may be advised to provide medical proof of fitness to travel on their chosen itinerary.

We do not accept unaccompanied minors (under 18 years old). Older teenagers may be accepted only if accompanied by a parent or legal guardian, who assumes full responsibility for them.

We reserve the right to refuse or cancel a booking at our discretion. If a passenger’s health or conduct before or during the tour is considered unsuitable, they may be excluded from part or all of the tour.

In cases of ill health, we may make necessary arrangements and recover any related costs from the passenger.

ILLNESS OR DISABILITY

Anyone suffering from an illness, disability, or undergoing treatment for any medical condition must declare it at the time of booking and ensure they bring all necessary medication or treatment required during the tour.

Failure to disclose such information may result in exclusion from the tour, in which case all payments made will be forfeited.

INSURANCE

We strongly recommend having travel and medical insurance, as it is not included in the tour price.

If you become ill or need medical attention during the tour, we will assist in arranging help, but all medical costs, including hospitalization or emergency evacuation, are the passenger’s responsibility.

FORCE MAJEURE

Peru Travel Company is not responsible for events beyond our control, including war, civil unrest, strikes, terrorism, natural disasters, fire, extreme weather, transport technical issues, or flight cancellations, delays, or changes made by airlines.

LOCAL LAWS

All participants in tours operated by Peru Travel Company must comply with the laws and regulations of the countries visited. Failure to do so will release Peru Travel Company from any obligations under these booking conditions.

COMPLAINTS

If you have a complaint during your tour, you must inform your guide or a Peru Travel Company representative immediately so we can try to resolve it. We can only fix issues if we are made aware of them.

If the issue is not resolved, a written complaint must be submitted within 14 days after the end of the tour.

RESPONSIBILITIES

Peru Travel Company reserves the right to modify or cancel any travel arrangements when necessary, in the best interest of our clients. We also reserve the right to refuse, accept, or retain any person on any of our tours.

We are not responsible for injury, illness, loss, damage, delays, or additional expenses caused by third parties, transport or accommodation providers, or by natural events or force majeure situations.

NOTE ABOUT CAMPSITES ON THE INCA TRAIL

Please note:  that campsite assignments are controlled by the relevant authorities and are outside of our control.

Allocation generally depends on how early permits are booked and availability.

Early bookings are more likely to be assigned to Wiñay Wayna (3rd campsite). Later allocations may involve a longer hike on the final day, which could affect arrival time at Machu Picchu for sunrise. However, Machu Picchu remains an incredible experience at any time.

Campsites may also change depending on guide decisions and group progress.

ACCEPTANCE OF TERMS

By participating in the trek, clients accept all terms and conditions stated above. Cancellation policies apply immediately upon confirmation of the booking.

STAYING HEALTHY DURING YOUR TREK

We recommend arriving in Cusco at least 1, 2 OR 3 days before your trek to acclimatize. Cusco is located at 3,300 meters above sea level.

Make sure you are fit and healthy before starting the trek. Allow time to adjust to the altitude, as the trek is demanding and may not be suitable for people with respiratory conditions.

Walk at your own pace. You will not be required to stay with the group at all times, as people walk at different speeds.

The group will regroup at key points for guided explanations.

Avoid overexertion. If you feel unwell or your heart is racing, stop and rest until you recover.

Drink plenty of fluids throughout the trek. Water is essential in addition to the drinks provided at meal times. Bring a water bottle of at least 1 liter.

Protect yourself from the sun with sunscreen, a hat, and appropriate clothing, as UV exposure at high altitude is strong.

Temperatures drop quickly in the evening, so be sure to bring warm clothing.

RETURN TRAIN TICKETS

The return train is on the Expedition service, with departure times at 2: 30 pm , 2:55 pm, 4:20 pm, 4:42 pm, 6:20 pm, or 8:50 pm.

Train schedules depend on availability and will be confirmed during your briefing.

You may upgrade to the Vistadome train for an additional US$110 per person.

Please let us know: your preference at the time of booking. None of the trains go directly to Cusco; they operate either to Ollantaytambo or Poroy. In both cases, we will provide a private transfer back to your hotel in Cusco.

If you plan to stay an extra night in Aguas Calientes, we will arrange your train tickets for the following day. Please inform us when booking your tour.

FOOD ON OUR TREKS

One of the highlights of our treks is the food. All meals are fresh and mostly organic, with plenty of variety including vegetables, meat, chicken, fish, and other proteins and carbohydrates.

Meals are served in a shared setting, and we can accommodate all dietary requirements, including vegetarian, vegan, and food allergies.

We do not provide alcoholic drinks on the trek, but you are welcome to bring your own.

OUR CAMPING EQUIPMENT

We provide 4-person tents for only 2 people, along with mattresses for added comfort. Our dining setup includes a spacious dining tent, portable tables and chairs, plates, and utensils.

Sleeping bags and walking sticks are not included but can be rented from Peru Travel Company.

Please note that if you are over 1.95 m (6’4″), sleeping bags may not be available for rent in Cusco, so we recommend bringing your own.

OUR GUIDES, COOKS AND PORTERS

Our guides, cooks, and porters are experienced, friendly, and caring professionals who help make your trek safe and enjoyable.

Our guides speak good English and provide clear and informative explanations throughout the journey. Our cooks prepare excellent family-style meals, and our porters (known as Chaskis on the Inca Trail) carry the equipment so you can travel comfortably.

We do not overload our porters and ensure they are treated fairly, unlike some operators that allow excessive carrying weights without proper care.

We also provide our entire team with the necessary equipment to ensure their comfort and well-being during the trek.

FITNESS ON THE TREK

The Inca Trail is challenging, but you do not need to be an athlete or an experienced trekker to complete it.

A good level of fitness helps, but with a positive attitude and determination, most people can complete the trek successfully.

The fitter you are, the more you will enjoy the scenery and Inca sites along the way.

If you do not exercise regularly, we recommend doing some extra walking or light aerobic training in the months before your trip.

Many people worry about their physical ability to complete the trek, but failure is rare and usually only occurs due to severe altitude sickness or very low fitness levels. People of all ages, from teenagers to older adults, successfully complete the trek, and age is not a barrier if you are active and positive-minded.

Before your departure, we recommend visiting your doctor for further advice and guidance.

STORAGE DURING YOUR TREK

Please note: that you will not have access to your main luggage during the trek, as porters will always be ahead of the group. You should bring a daypack for essentials such as water, camera, sunscreen, and personal items.

By Peruvian law, each duffle bag carried by porters must not exceed 12 kg. You may store your main luggage at your hotel or leave it with us.

We can only confirm your reservation upon receiving a non-refundable deposit of 50% for the Inca Trail or alternative treks, or 50% for Peru packages and other services (payments via Western Union or bank transfer).

Please note: that deposits are non-refundable, as they are used to secure permits, Machu Picchu entrance tickets, train tickets, and hotels. Once confirmed, spaces cannot be resold.

The final balance must be paid 1, 2 or 3 days before the trek starts (in cash, USD or soles). Otherwise, the tour may be cancelled unless prior notice of delay is given by email.
